S.A. considers
your personal data a very serious matter and therefore complies with the
relevant national legislation as well as Regulation (EU) 2016/679 of the
European Parliament on the protection of natural persons with regard to the
processing of personal data and on the free movement of such data (General Data
Protection Regulation – GDPR).
ETHOS MEDIA
S.A. is committed to the full implementation of current legislation and
European regulations taking into account the adoption of appropriate technical
and organizational measures for the protection of personal data.
This policy
applies to personal data collected and/or processed by LiveOn platform. Please
note that this applies in full to events organized by ETHOS MEDIA S.A. For
events organized by third parties and hosted by the LiveOn platform, you should
additionally consult the policy of each organizer, that you will find published
on the event, as some of the statements herein may not apply.
Controller
Controller of your personal data for the LiveOn platform is the Société Anonyme under the name ETHOS MEDIA S.A., based in Piraeus (Filonos 79-81), telephone: +30 210 2109984950, Email: info@ethosmedia.eu), hereinafter referred to as "ETHOS MEDIA S.A. ”. Please note that this policy doesn’t apply on the data processing mentioned herein concerning specific functionalities of the platform (eg chat & video call), as well as data processing made in the context of third-party events, in which ETHOS MEDIA SA acts as the processor.
Purpose of this policy
The aim of our policy is to capture the following in as simple, understandable and concise a way as possible:

ETHOS MEDIA
S.A. can detect the IP address through which the computer or any other
electronic device accesses the Internet and then our website. This is due to
the way the internet works and aims to secure networks from malicious actions.
For the same reason, this function collects information about the type of
browser and the operating system (windows, android, iOS, etc.) of the user.
This information cannot identify you directly and is stored for the minimum
necessary period for network security. This information does not require your
prior consent before downloading it, as it is necessary for the safe and proper
operation of each website.
This
information is kept in log files on our website server for 12 months.
The legal
basis for the initial collection of this data is our legitimate interest in the
proper and safe operation of our website. You have the right to object to the
retention of this information on grounds relating to your situation, provided
that your rights and freedoms prevail of our legitimate interests or the
necessity of collecting the data for the establishment, exercise or support of
our legal claims. On how to exercise this right, see below under the heading

When you register for an
event/exhibition organized by ETHOS MEDIA SA through LiveOn
In order to
attend the events or digital exhibitions (hereinafter referred to as
"events") organized through LiveOn it is necessary to register for
this particular event by completing the registration form that you will find
when entering the event. You will be asked for your full name, the company you
work for, your professional capacity, your email account and optionally a
contact phone number. You will need to create a personal password, which you
will need to safeguard from unauthorized access by third parties.
This
information is necessary for us to recognize you and allow you to enter the
event and the various points of interest included in it (eg speeches,
conferences, virtual exhibitors' booths, etc.) (our legal basis for collecting
them is the contract you enter into with us for the provision of the service of
attending and participating in the event) and to gather and evaluate our
audience in terms of the type of business in which they are engaged and their
interests, in order to communicate with them about our other events or services
that may be of interest to them (our legal basis for collecting this
information is our legitimate interest in evaluating our audience on the basis
of interests and their area of activity, so that we can promote similar services
or products of ours). You have the right to object to receiving such
promotional messages, leaving blank the field you will find at the end of the
registration form "I wish to receive promotional messages via e-mail about
similar events, services or products of ETHOS MEDIA SA". You can express
your opposition at any later time by pressing the "unsubscribe"
button at the end of each such message you receive.
In
addition, your status and the company in which you work is necessary for us to
grant you any privileges of participation in the event (eg free participation
or discount on the participation amount to specific professionals or to
executives of companies that are exhibitors or sponsors, etc.). In these cases,
you may be asked for additional information or documents proving your specific
status (eg in cases of student participation with a discount you will be asked
to send your student ID by e-mail). The legal basis for the collection of this
information is the performance of the contract we enter into with you to
provide privileged participation in our event. Your professional capacity and
the company in which you work is necessary in order to facilitate you to
participate in networking activities provided through the event, such as
sending a request to "connect" with other participants in the event
for exchange of views, finding a job by participants or exhibitors who wish to
hire you, etc.
Your
personal information, which is defined above as mandatory, is necessary for
your participation in the event and without them it will not be possible to
provide the participation service you request from us.
When you register for an
event/exhibition organized by ETHOS MEDIA SA through LiveOn through your
Google, LinkedIn or Facebook account
At some of
our events it is possible to register through your Google, LinkedIn, or
Facebook account. In this case, you grant an authorization to your account
provider to allow us to collect your account information (such as user's full
name or pseudonym, e-mail and picture). Your identification and entry to the
event in the above cases is performed through your provider's account and using
the credentials you keep in it.
In this
case, this information is necessary for us to recognize you and allow you to
enter the event and the various points of interest included in it (eg speeches,
conferences, virtual exhibitors' booths, etc.) (our legal basis for collecting
them is the contract you enter into with us for the provision of the service of
attending and participating in the event) and to gather and evaluate our
audience in terms of the type of business activity in which they are employed
and their interests, in order to communicate with them about our other events
or services that may be of interest to them (our legal basis for collecting
this information is our legitimate interest in evaluating our audience based on
their interests and area of activity and to promote similar services or
products to them). You have the right to object to receiving such promotional

When you register for an
event/exhibition organized by LiveOn's ETHOS MEDIA SA via Google Form
In some
events, you can register and participate through an online form embedded in our
website ethosevents.eu (google form). You will be asked for your full name, the
company you work for, your professional capacity, your email account, and a
contact phone number with you. If you are registering on behalf of a company or
other entity and not individually for yourself, you will also be asked for your
name as the person applying to participate. In case you are intitled to
participate with a discount due to your capacity (eg student), it will be
necessary to send us additional documents proving it (eg your student ID or
pass) by email to registration@ethosmedia.eu.
In this
case, this information is necessary for us to recognize you and allow you to
enter the event and the various points of interest included in it (eg speeches,
conferences, virtual exhibitors' booths, etc.) (our legal basis for collecting
them is the contract you enter into with us for the provision of the service of
attending and participating in the event) and to gather and evaluate our
audience in terms of the type of business activity in which they are employed
and their interests, in order to communicate with them about our other events
or services that may be of interest to them (our legal basis for collecting
this information is our legitimate interest in evaluating our audience based on

When you participate as a
speaker in an event organized by ETHOS MEDIA SA through LiveOn
If you
participate as a speaker in an event conducted through LiveOn, we collect your
full name, capacity and title, the company you represent, your photo and
optionally your resume. Also, optionally, you can include in the information
you send us the hyperlinks of your social media accounts (eg LinkedIn, Twitter,
Facebook, Instagram, etc.).
These
details are published both at the event within LiveOn and are accessible even
by non-participants in it, as well as on the website of ETHOS MEDIA SA
ethosevents.eu, where ETHOS MEDIA events are presented, to make them available
for interested parties to follow the event. In addition, if you are a speaker
at a public event such as our events, what is described below regarding your
inclusion in audiovisual material of the event also applies to you.
The legal
basis for the collection and publication of the information that is mandatory
according to the above, is the contract between us for your participation as a
speaker in the event. For your non-mandatory information, the legal basis is
the consent you give us to publish it, according to your wish. You can withdraw
this consent at any time, without retroactive effect, by sending a message
to dpo@ethosmedia.eu. Accepting your request will
result in the deletion of this non-mandatory information from publication. The
rest of your personal information, which is defined above as mandatory, is
necessary for your participation in the event and without them it will not be
possible to provide your participation service agreed between us.
When you upload your CV, your
photo or add a link to your social media profile to the user account you
created at an event / exhibition organized by ETHOS MEDIA SA
When you
register for an event, if you wish, you are given the opportunity, through your
user account settings, to upload your CV and a photo of yourself that will
appear on your avatar as a user. You can also add a hyperlink to your social
media profile in your account details. The legal basis for the use of your
information is your own consent, which you grant by uploading them and which
you can revoke at any time (without retroactive effect) by removing them, for
as long as the event continues to exist on LiveOn's servers. Your details are
by default visible only to those participants of the event that you add to your
network (networking), but you have the option to change this setting so that
they are visible to other users who have registered for the event. Please note
that those who have access to this information of yours have the ability to
copy, export and save them. For such actions of users, LiveOn bears no
responsibility and declares in advance that, according to the Law, they are
permissible only with the consent of the person whose personal data relates.
Audiovisual material including
a depiction of you
In case you
are a speaker at an event or intervene through a question in a conference
speech or participate in an event broadcasted through LiveOn, you may be
depicted in the audiovisual material (video or images) of the event. This
material can be visible either in real time (at the time of the live broadcast
of the event), or in videos and photos that are subsequently published in the
context of the event within LiveOn (video on demand), in the conference report
material published on our website ethosevents.eu and is sent both to
participants, but also to media (print or digital), which may cover the event
or republish its details. Please note that all our events are public and if you
do not wish to be included in such material you should not register. The legal
basis for the collection and transmission of your information is the
performance of the contract with you for your participation in the event, which
by its nature as a public event entails the above uses. The legal basis for the
storage and further publication of your information is our legitimate interest
in promoting our public events. You have the right to object to them in
advance, by not registering, as it is practically impossible to isolate and
delete your data from audiovisual material.
When you use the messaging or
video calling features within LiveOn as part of an event
Participants
in the events conducted through LiveOn are given the opportunity to exchange
text messages with each other (chat) or with representatives of exhibitors in
virtual exhibitions, delegates or with speakers. Also, there is the possibility
of video calls between the participants or them and the representatives of the
exhibitors / delegates / speakers. This possibility may be provided on a
case-by-case basis either after users have accepted each other on their network
or without prior acceptance. Communication with exhibitors' representatives is
possible in any case in both ways. The content of your conversation, whether
written or oral, is only accessible to the participants in the conversation.
Please note, however, that other participants may save it (e.g. by screenshot)
or record it by other external means (e.g. video or mobile recording) without
LiveOn being involved in this action.
Classified
access to the metadata of the conversations (e.g., which user chatted with
whom, for how long, etc.) is reserved only to specific competent technicians of
Ethos Media SA, for reasons of quality assurance of LiveOn's services and
technical inspections. The legal basis for the processing is our contract with
users, the obligations of which include the quality of our services and the
elimination of technical problems. Our technicians have committed themselves in
writing and in accordance with the Law for the protection of your personal
data.
Please note
that in these actions (chat or video call) Ethos Media SA acts by providing the
means for the conversation, i.e. as the processor on behalf of the person
initiating the conversation, who has the role of controller.
When you join a video call in
which you are invited to participate in an event you have not registered
Any user
who makes a video call through LiveOn with another participant in the event,
has the opportunity to invite a third person - not participating in the event.
In this case, the caller fills in the third party's email account, to which an
automated email is sent, containing the hyperlink to join the video call. It is
not required to register for the event to be able to participate as a third
party in the video call. If you are invited to participate in such a
conversation in the manner mentioned above, LiveOn will only store and use your
email address to send you the invitation and log in information. Classified
access to the metadata of the conversations (e.g., which user chatted with
whom, for how long, etc.) is reserved only to certain competent technicians of
Ethos Media SA for reasons of quality assurance of LiveOn's services and
technical inspections. The legal basis for the processing is our contract with
the users, the obligations of which include the quality of our services and the
elimination of technical problems. Our technicians have committed themselves in
writing and in accordance with the Law for the protection of your personal
data. However, please note that in this action (invitation and call making)
Ethos Media SA acts by providing the means for the conversation, i.e. as the
processor on behalf of the person sending the invitation, who has the role of
controller.
When you consent to be
contacted by sponsors and partners of the events you participate in through
LiveOn
As part of
your registration in any way for one of the LiveOn events, you may provide your
consent to your information (in particular your email address and your name and
capacity) being used by sponsors and event partners in order to send you emails
to promote their own products and services, in accordance with their own
privacy policy, which you will find in a hyperlink in the relevant field of
your registration form. In this case, Ethos Media will transmit this
information to the sponsors/partners for whom you have provided your consent.
This consent is not a prerequisite for your participation in the event and can
be revoked at any time without retroactive effect, by sending a relevant
request to dpo@ethosmedia.eu, or in the ways provided in
the policy of each sponsor/partner to whom you have provided your consent.
Automated decision-making
We do not
use your personal data for automated decision-making that may have legal
consequences or other significant consequences for you, nor do we create
profiles for you based on your personal data.
What are your rights under the General Data Protection Regulation (GDPR)?
RIGHT OF ACCESS AND
RECTIFICATION
You have
the right to know whether the personal data concerning you have been or will be
processed and in any case to demand from ETHOS MEDIA S.A. the correction of
your personal data if it is inaccurate, or their completion in case of
deficiencies. When updating your personal information, you may be asked to
verify your identity before we can satisfy your request.
RIGHT TO PORTABILITY
You may
receive your personal data in electronic form. Your right applies to:
A) if you
provided them yourself
B) either by giving your consent
C) or to enter a contract with us.
You will
receive them in a structured, commonly used and machine-readable format (i.e.
in a type of electronic file widely used and easily readable by common
software), as well as transmit them or request their transmission from us to
another controller, provided that this does not adversely affect the rights and
freedoms of other persons.
RIGHT TO ERASURE
Under the
conditions of the law, you can request the deletion of your personal data, as
well as in specific cases the restriction of the processing they undergo.
Personal data that we are required to keep due to legal obligations cannot be
deleted. Deletion of personal data necessary for the performance of a contract
may lead to cancellation of the contract or inability to perform it.
RIGHT TO OBJECT
You have
the right to object at any time to the processing of data concerning you.
This right
applies to you if the reason for their processing by us is our legitimate
interest and you have an objection due to any of your particular circumstances
(for personal, professional or social reasons).
This
applies to the information that is automatically collected when you browse the
internet, and on our platform, as well as when in the context of your
registration for a LiveOn event you do not wish to subscribe to the mailing
list of our newsletter for similar events / services or products.
RIGHT TO RESTRICTION OF
PROCESSING
You have
the right to request the restriction of processing of your data.
This will
apply if you contest the accuracy of your data and until we verify it, when you
consider that the processing being done is unlawful, when we no longer need it,
or when you have exercised your right to object.
RIGHT TO WITHDRAW CONSENT
When we
process your personal data on the basis of the consent you have given us, you
have the right to withdraw it freely, at any time, without retroactive effect,
and without suffering any consequence on other services we provide to you for
other reasons (eg under a contract that exists between us).
RIGHT TO COMPLAIN
You have
the right to lodge a complaint with the Personal Data Protection Authority in
case you consider that your data is being unlawfully processed. The Authority
recommends that you contact us to submit any complaint or request before you
lodge a complaint. You can do this free of charge by emailing the Data
Protection Officer appointed by ETHOS MEDIA S.A. and at dpo@ethosmedia.eu. We will make every effort to satisfy your request.
In case you are not satisfied with our response, you can submit your complaint
to the Authority (1-3 Kifissias Ave., 115 23 Athens, tel. 210-6475600,
www.dpa.gr, email: complaints@dpa.gr).
How to exercise the above rights:
For the
exercise of your rights, as well as for any information regarding the
processing of your personal data, you may submit a request to the Data
Protection Officer appointed by ETHOS MEDIA SA, at dpo@ethosmedia.eu.
We may need
to ask you for your identification before responding to make sure that no one
else is exercising your right.
As a rule,
your request will be complied with within one month of receipt or, if it is
particularly complex, you will be informed accordingly at least within one
month of the delay that may be caused by the complexity of the request.
Information
and all related responses to your requests are provided free of charge, unless
they are excessive or repetitive.
Retention period of your personal data
Your
personal data is retained only for as long as is necessary for the purpose for
which it was collected, according to the distinctions mentioned in the above
cases of their use.
Data
collected and stored in the context of an event is retained on LiveOn's servers
for as long as the event continues to exist (usually up to 5 years).
Your
contact data (name, capacity and e-mail account) collected during your
registration, as long as you did not object to receiving emails about our new
events, services and products that may be of interest to you, will be retained
for as long as you do not express your opposition by pressing the
"unsubscribe" button that is at the end of each such message you will
receive.
Who may be the recipients of your personal data?
- Access to the data is restricted only to authorized partners of ETHOS MEDIA S.A., whenever necessary. We may give access to your data on a case-by-case basis to our partners who provide their services to us (such as web hosting providers, website management providers, IT support providers, email sending companies, livestreaming service providers, service providers such as Zoom, to view events or hold conversations through it integrated into LiveOn, Viber to send messages to event registrants with hyperlinks to their entry or start reminders etc) if their services are necessary for our operation and your service. All our partners are committed to us by a contract to protect your personal data and are committed not to disclosing it to anyone else.
- Access to some of your data, according to the distinctions mentioned for each type of processing, is granted to those who participated in the specific event you registered and maintain a user account, for as long as the event is hosted on LiveOn's servers (usually up to 5 years).
- If you are a speaker at an event, your full name, photo and title are published both at the event within LiveOn, with access by anyone (and non-registered user), and on the website of ETHOS MEDIA GROUP SA ethosevents.eu.
- If you provide your explicit consent, we will forward to the sponsors / partners of the specific event your name, capacity and email account, in order to subscribe you to the list of recipients of their promotional messages (newsletter) or to contact you. You can see the sponsors/partners of each event in the announcement of each event either when you register for it on LiveOn, or in the "next events" section on our website ethosevents.eu. Before providing your consent, you should consult the policy of each sponsor / partner. Please note that withdrawal of your consent should be addressed to the respective sponsor / partner, in whose list of recipients you have registered, however it can also be submitted to dpo@ethosmedia.eu, in order to be transmitted to its intended sponsor/partner.
- If during your registration to our events you provide your explicit consent, we will transmit to the sponsors / partners of the specific event and / or to interested sponsors / partners of the next similar event, an anonymous list that will contain only the title of each participant and the name of his/her company. None of your other data will be included on this list. This transmission is made for the purposes of reporting the event on behalf of the sponsor / partner (quantitative and qualitative audience measurement, statistical evaluation of categories of business sectors that participated, etc.) and for the purpose of promoting the events of Ethos Media SA to interested sponsors and partners of subsequent events.
In any case, your personal data will not be transmitted or disclosed to anyone for marketing purposes without your prior express consent.
Transfers to third countries
